Terms & Conditions 

Thank you for your interest in joining the International TSC Research Conference 2021. This is the first time that we have organised a virtual conference, and the first time that many of our delegates have attended a virtual conference.  We have set out the terms and conditions for the event clearly below so that everyone is aware of the arrangements that are in place for this event.  We hope that we will enjoy a rewarding time together sharing knowledge and experience, and learning about new and exciting TSC research.

Information about us

Your booking is made with The Tuberous Sclerosis Association (TSA), a company limited by guarantee. Registered in England and Wales no. 2900107. Charity no. 1039549 (England & Wales) SC042780 (Scotland). (the “Organisers”) for delegates to register and book places to attend your selected event (the “Conference”).

Making a registration request for the Conference constitutes your acceptance of these Terms and your agreement to comply with them. Please read these Terms carefully before you complete the registration request. These terms tell you how the booking can be made, changed and cancelled, and other important information.

Booking

  • The full conference rate entitles delegates to attend all three days of the conference (17-19 June 2021) and access content on demand for up to one month after the event.
  • It is your responsibility to ensure that the information you provide to us during the registration process is complete and accurate.
  • You can only buy one ticket per booking, so that we can ensure that every delegate receives the personalised link and access code they need to join the virtual conference platform. The link and code will be sent to the email address you use to register for the Conference.
  • All registered delegates who have given their consent for us to share their details with our third-party event platform provider the Royal College of Physicians will be sent a personalised link and access code to join the virtual conference prior to the conference.
  • All registered delegates will be sent a link to download the electronic conference programme book 3 days prior to the conference. Please note that printed copies of the electronic conference programme book will not be available.
  • All registered delegates will have access to password-protected recording from the conference, made available shortly after the Conference and accessible for 30 days after the event.

Payment

  • To complete your booking, you will be required to pay by credit card at point of sale.
  • The registration fee does not include a 6.5% + 49p payment processing fee which is charged by our payment processing provider. The payment processing fee will be added to your payment as part of the payment process.
  • Please note that we require full payment in advance of the Conference.

Discount codes

  • If you are entitled to a discount code, it will be sent to you in an email.
  • Delegates – including those with discount codes – can only buy one ticket per booking, so that we can ensure that every delegate receives the personalised link and access code needed to join the virtual conference platform. The link and code will be sent to the email address you use to register for the Conference.

Prohibited Conduct

  • Limitations on use. By registering for the Conference you agree not to sell, trade, transfer, or share your personalised link and access code, unless such transfer is granted by the Organizer. If the TSA determines that you have violated this policy, the TSA may cancel your access, retain any payments made by you, report you to law enforcement authorities, and ban you from future virtual events.
  • Disruptive conduct. You acknowledge and agree that the TSA reserves the right to remove you from the Conference if the TSA, in its sole discretion, determines that your participation or behaviour create a disruption or hinder the Conference or the enjoyment of the Conference content by other delegates.
  • Recording, live streaming, and videotaping. Delegates may not record or broadcast audio or video of sessions at the Conference.
  • Unethical/non-compliant business practices. The TSA reserves the right to deny participation to anyone who engages in or is reputed to engage in unethical or non-compliant business practices.
  • In addition to the requirements and prohibitions set forth in this Section, the TSA may also exclude any prospective delegate from registering for or participating in the Conference, at the TSA’s sole discretion.

Cancellations, refund and delegate swaps

  • Registrations cancelled more than 30 days before the event are eligible for a 75% refund of the registration fees paid, less a £25 administration charge.
  • Registrations cancelled less than 30 days, but more than 10 days before the event, are eligible for a 50% refund of the registration fees paid, less a £25 administration charge
  • Registrations cancelled less than 10 days before the event are no longer eligible for a refund.
  • Any cancellation of registration must be notified by e-mail to 2021conference@tuberous-sclerosis.org.
  • Any refunds to credit card payments may only be credited back to the original credit card, there is no possibility of refunding to an alternate card.
  • Registration fees may be transferred to another individual within the same organisation. Delegate swaps need to be made up to two weeks prior to the event. The delegate who made the booking must provide full contact details of the new delegate who will be attending in their place, by emailing 2021conference@tuberous-sclerosis.org.
  • In the event the TSA must cancel the conference due to unforeseen circumstances, the TSA will refund the cost of registration.
  • If there is an interruption of any length to transmission of the Conference on the planned dates, the TSA will not refund the cost of registration unless the TSA is unable to provide registered delegates with 30 days of access to the Conference content after the planned dates.
  • If the TSA is prevented from carrying out its obligations under these terms and conditions as a result of any cause beyond its control, or such that the Conference cannot be virtually conducted because of a software issue, an issue with the hosting platform, acts of God, strikes, labour disputes, government requisitions or restrictions, war or apparent act of war, terrorism, disaster, civil disorder, epidemic or pandemic, curtailment or restriction on transportation facilities, or any other comparable calamity, casualty or condition (collectively a “Force Majeure”) the TSA shall have the right to immediately terminate the Conference without liability and shall be relieved of its obligations to registered delegates.
  • If the Conference is terminated due to Force Majeure before the commencement of the first day of the Conference, then the TSA will reschedule the conference and your delegate registration fee will be applied to the rescheduled Conference.

Data protection

  • Our Privacy Policy sets out the terms on which we process any personal data we collect from you, or that you provide to us. By registering for the Conference, you consent to such processing by us and you warrant that all data provided by you is accurate. We may authorise a third party to process such data for the purposes of delivering the Conference on terms which are substantially similar to those set out in these Terms. This includes our event platform provider, Royal College of Physicians, and our payment processing provider, Eventbrite.
  • At the time of booking, we will ask for your consent to:
    • include your personal details (name, title, organisation, country) in the delegate list which will be shared with delegates, event sponsors and event exhibitors.
    • share your healthcare professional status (all of the world) and prescriber status (Germany only) with event sponsors and event exhibitors so that they can ensure access to promotional materials at pharmaceutical-industry sponsored symposia and pharmaceutical industry exhibition stands complies with the Association of the British Pharmaceutical Industry Code of Practice. 
    • share your personal details including your email address with third party supplier the Royal College of Physicians (online platform supplier) so that they can send your personal joining link and access code for the International TSC Research Conference virtual conference platform. (Please note that if you do not give consent, you will not receive your link or access code).
    • use photographs and/or video recordings from the Conference which may include your image for possible internal and external purposes.
  • Please indicate at the time of booking if you would like to opt out of including your personal details on the delegate list, sharing your healthcare professional status and prescriber status with event sponsors and event exhibitors, sharing your personal details including your email address with the Royal College of Physicians, or using photographs and/or video recordings from the Conference that include your image. If you wish to change your decision after making your booking, please notify us by e-mail: 2021conference@tuberous-sclerosis.org.
  • If you choose to opt out of sharing your personal details including your email address with the Royal College of Physicians, you will not receive your personalised joining link or access code, therefore you will not be able to access the virtual conference platform.
  • Photographs and/or video recordings from the Conference will be used for both internal and external purposes, and this will include ensuring that registered delegates have access to a recording of the event for 30 days after it has taken place. These images and films can also be used in print and digital media formats including print publications, websites, e-marketing, posters, banners, advertising, film, social media, teaching and research purposes. Images on websites can be viewed throughout the world and not just in the UK, and some overseas countries may not provide the same level of provision of the rights of individuals as UK legislation provides. Some images and recordings may be kept permanently once they are published and kept in the archives of the Organiser.
  • In the virtual exhibition if you click on “ Please share my contact details with exhibitor so they can send information to me’” it will give you an option to share your personal information such as your name, job title, organisation, email address and country to the relevant exhibitor to enable them to send information to you directly.
  • By submitting registration details, delegates agree to allow the Organisers to contact them regarding their services and future events. If you do not wish to receive such communications please email research@tuberous-sclerosis.org.

Liability

  • Views expressed by speakers are their own. The Organisers assume no responsibility for the content of presentations and the Organisers cannot give any warranty that the information will be accurate or up to date.
  • Subject to the paragraph below, the Organisers do not accept liability for any error or omission and excludes all liability for any action you may take or loss or injury you may suffer (whether direct or indirect, or any indirect, consequential or special loss) howsoever arising for advice given, or views expressed, by any speaker at the Conference or in any material provided to delegates or as a result of you relying on the same.
  • We do not attempt to exclude or restrict liability for death or personal injury caused by the Organiser’s own negligence or any other liability the exclusion and restriction that cannot be excluded or restricted by English law.

General

  • The Organisers reserve the right to change these Terms and Conditions. We will do this by altering these Terms and Conditions on the site and this alteration will then be of immediate effect.
  • These Terms and Conditions, their subject matter and formation (and any non-contractual disputes or claims) are governed by English law. We both agree to the exclusive jurisdiction of the courts of England and Wales.
  • Each and every provision of these Terms and Conditions is separate and severable. If any part of these Terms and Conditions is determined to be invalid or unenforceable pursuant to applicable law, then the validity and enforceability of the remainder of these Terms and Conditions shall not be affected.
